The agenda of the first meeting is available on the SHIP website. 2. Initially, the agenda of the meetings will be archived on the SHIP website and will be readable by the members of the executive group. This will be extended to the collaboration, when extended in Zurich. 3. Andrei informed the meeting of the current situation. There will be a meeting with Bertolucci coming Friday where acceptance criteria for new groups will be on the agenda. The task force draft is available and will be finalized soon. The SPC had a meeting in May, discussing the white paper for the MTP. At the SPC there was also a discussion on the "neutrino platform". To attract new collaborators, it will be very valuable to have a specific line in the MTP that will be pointing to the SHIP physics programme. Then Andrei discussed the timescale for SHIP. The submission of the Technical Proposal, which should contain a wider physics case, should be aimed for early 2015 (February). Before that time there will be limited R&D, with a limited request for test beams, and no major funding request yet. The aim is then to seek approval before the end of 2015, e.g. September/October. Assuming approval, the TDR will require about two years. That will require working prototypes, funding and resources. The aim is to submit in 2017, for approval in 2018. This timescale is compatible with installing essential parts of the beamline in the machine during LS2. One should count on five years for construction and actual funding. 4. Jaap proposed a set of criteria for accepting new groups into the collaboration. These criteria would be communicated coherently to all aspiring members and form a basis for the decisions at the meeting in Zurich. The requirements for new groups will comprise contributions for the coming year and projections into the future: a) Contribution to the Technical Proposal There should be a tangible contribution to the detector design, evaluation of the physics reach, R&D and test beam activity, or software, simulation and computing activities. Groups would be expected to commit to this contribution in Zurich. b) Groups would be expected to - formulate an interest in a hardware and software contribution for the construction; - give an estimate of the strength of their group during the work for the technical proposal, the preparation of the TDR, and the construction; - present a preview of the expected funding, and the different steps to obtain it. 5.
